United Woundcare Institute is seeking an Executive Assistant to support members of our senior leadership team. This person will be a proactive problem solver with outstanding communication skills and keen attention to detail.
This position does require occasional in-person meetings to our office in Naperville, IL. Schedule: Monday-Friday, weekend communication may occur occasionally.
Role Objective:
- Render support to the senior leadership team as directed to guarantee that company goals and objectives are accomplished, and operations run efficiently
- Manage interaction between upper management and employees, liaising with internal and external executives on various projects and tasks
- Plan and organize work to ensure the senior leaderships’ priorities are met, organizational goals are achieved, and best practices are upheld
Key Responsibilities:
- Manage the calendar for members of senior leadership, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics
- Coordinate scheduling and extensive calendar management, as well as administration of content and flow of information to senior leadership
- Manage, coordinate, and array senior executives’ travel and travel-related activities, including hotel bookings, transportation, and meal coordination
- Complete organizational and office support, such as transcription, spreadsheet preparation, faxing, and maintenance of the filing system and contact database
- Sustain professionalism and stern confidentiality with all materials
- Organize team communications and correspondents, and plan events, both internally and externally.
Skills and Qualifications:
- 2+ years’ experience in an administrative role reporting directly to senior management
- Excellent written and verbal communication skills
- Experience in taking notes and keeping track of meeting minutes
- Reliable time-management skills and the experience to organize and coordinate multiple projects at once
- High proficiency in Microsoft Office and other office productivity tools, with quickness to learn new software and systems
- Manage administrative communication and ad-hoc deliverables
